Qualifications:
Strong understanding of Human Resource processes and employment practices Basic Understanding of Payroll and Benefits Management Experience in recruitment, interviewing and qualifying candidates preferred.

Goals, Duties and
Responsibilities:
General Responsibilities Creating and distributing documents and notifications related to HR Policy Changes, Enrollment Periods, Benefits Updates, upcoming events.
Maintaining all necessary computer databases and software Setting appointments and arranging meetings for the Controller or other Management team members in relation to HR functions such as hiring, employee reviews, exit interviews, benefits meetings, trainings, etc.
Managing Employee-of-the-Month Program- ensuring participation, choosing the recipient, and carrying out all associated tasks Assist Controller in maintaining appropriate Safety Program Documentation & Processes.
Work with Controller and our Insurer to create programs to verify compliance with all safety standards.
Assist in managing the Safe Drivers Program.
Assist the Controller in managing any workman's compensation claims with Insurer.
Maintenance and assistance in implementation of Company Handbook Compiling reports and preparing spreadsheets for Management, as needed Manage inventory, order, and distribute all employee uniform orders.
Coordinate and assist in the planning and booking of company travel, when needed.
Managing the company phone system and forwarding calls and messages as needed Assisting with walk-in traffic, as needed Scheduling Monthly Birthday Lunches Recruitment/New Hire Process Review new Job Descriptions for consistency with company structure, with assistance from the overseeing department managers and Controller.
Complete updates to existing Job Descriptions, when needed.
Posting job ads and organizing resumes and job applications Working with Marketing to run targeted ad and social media campaigns for open positions.
Scheduling job interviews and assisting in interview process.
Participating in recruitment efforts, which could include Job Fairs, cold or warm touches and networking opportunities within the community.
Ensuring background and reference checks are completed.
Printing new hire packets and ensuring all documents are completed and received and filed according to FHI Processes Assisting with orienting new employees to the organization (setting up log-in, workstation, email address, appropriate technology) Managing Company Cell Phone Account- Ensuring appropriate lines are active, ordering new phones when needed and assisting employees in setting up and ordering accessories.
Conducting benefit new hire and open enrollment process Scheduling 90 Day Reviews for all new hires with the GM Assisting in researching new benefits offerings & ways to keep the company competitive in the hiring market.
Payroll and Benefits Administration Processing payroll, which includes ensuring vacation and sick time are tracked accurately in Gusto.
Process employee's mileage reimbursements as part of payroll and verify accuracy of amounts.
Submitting payroll tax, benefit payments & contribution payments within required timelines In conjunction with Leadership, make any Benefits Changes or Additions and complete follow up documentation, as required.
Verifying Time Clock Accuracy with Project Managers prior to running payroll Answering payroll-related questions Facilitating resolutions to any payroll errors Record Maintenance Maintaining current HR files and databases Managing Gusto Software- Ensuring that all employees are entered correctly, have filled out their documents, onboard new employees if needed and ensure completion of the monthly report card by all management team members.
Assist in updating Company Handbook, as directed by Leadership.
Updating and maintaining employee benefits, employment status, and similar records within all systems Compiles and maintains a current list of all employees contact information and ensures copies are available.
Keeping up-to-date current employees lists for all external vendors.
Notify Marketing of Birthday's for all new hires- help marketing to maintain the calendar to ensure posting on the appropriate date.
Maintaining records related to grievances, performance reviews, and disciplinary actions.
Completing termination process and scheduling exit interviews Any other responsibilities as decided by the Leadership Team at any time.
Sales and Marketing Enable future FHI sales by excelling at your role through constant and consistent communication with our clients.
Promptly address any customer concerns and issues.
Help FHI create happy customers by exceeding the customer's expectations whenever possible.
Support staff in customer relation-related activities to help foster the best customer experience.
Estimating As with all FHI employees, the HR Assistant can and will impact the health of FHI through their dedication to proper business practices and time management.
Ensure Sales and Production are receiving the most accurate information possible.
Leadership Represent FHI as a member of HRMN and participate in regular meetings with the organization.
The HR Assistant will embrace, support, enable and promote FHI Core Values The HR Assistant will always maintain a positive attitude towards FHI, other team members, office staff, vendors, trades and FHI customers.
Support and promote all FHI policies, procedures, and initiatives in a positive manner.

Report any major issues to the Controller.
Ensure all non-employee vendors and trades maintain the highest regard for FHI when on our sites or communicating with our staff or customers.
The HR Assistant will lead by example.

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
